About the role
As the Office Coordinator & Executive Assistant, you will play a key role in ensuring the smooth day-to-day operation of our Brisbane office while providing dedicated support to the Chief Operating Officer. You will be the central point of coordination for office administration, facilities management, and workplace services, helping to create an efficient, organised, and welcoming environment for employees and visitors alike.
Working closely with senior leaders, you will deliver high-quality executive support through proactive diary management, communication, and coordination of priorities. This is a dynamic and varied role that combines operational oversight with executive assistance, making it ideal for someone who thrives in a fast-paced environment, takes initiative, and enjoys building strong working relationships across the organisation.
Please note: This is an office-based role requiring an onsite presence five days per week in our Brisbane office. While some flexibility may be available, the successful candidate will be expected to work predominantly from the office.
What the role looks like
· Being the go-to person for all office and facilities operations, ensuring a safe, organised, and welcoming workplace.
· Managing incoming business correspondence, including regulatory, legal, and customer communications, ensuring timely processing and distribution.
· Acting as a key point of coordination with building management, contractors, and service providers to keep the office running smoothly.
· Supporting the Chief Operating Officer with executive administration, calendar management, travel coordination, and meeting preparation.
· Facilitating onboarding activities and coordinating with HR and IT to deliver a seamless new starter experience.
· Maintaining office resources, records, documentation, and procurement activities, including invoice and vendor management.
· Playing a critical role in business continuity by identifying and escalating time-sensitive communications and supporting operational resilience.
What you’ll bring
· Proven experience in office administration, facilities coordination, executive support, or similar business support roles.
· Exceptional organisational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
· Strong written and verbal communication skills, with the confidence to engage professionally at all levels of the organisation.
· High attention to detail and a commitment to accuracy, quality, and confidentiality.
· Proficiency across the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
· A proactive, solutions-focused approach, with the ability to work independently and take ownership of outcomes.
· A collaborative and approachable style, with strong stakeholder management skills and a passion for creating a positive workplace experience.
