Privacy policy for the Redion ANZ employer branding and recruitment

Redion ANZ manages its employer branding and recruitment activities through its career site (the “Career Site”), and related applicant tracking system.
This privacy policy explains how we collect, hold, use and disclose personal information when:
You visit our Career Site (a “Visitor”)
You create a candidate profile or connect with us to receive information about current or future employment opportunities (a “Connecting Candidate”)
You apply for a position with us through our Career Site or a third party recruitment platform (an ”Applying Candidate”)
We identify your profile through publicly available sources because we believe you may be suitable for current or future opportunities with us (a “Sourced Candidate”)
We receive information about you from one of our employees, contractors, recruitment partners or other referrers, who believes you may be suitable for current or future opportunities with us (a “Referred Candidate”)
A candidate provides your details as a professional referee and we contact you as part of our recruitment process (a “Reference”).
This privacy policy also describes your rights and how you can contact us regarding our handling of your personal information.
In this Privacy Policy, the term Candidate refers collectively to Connecting Candidates, Applying Candidates, Sourced Candidates and Referred Candidates unless otherwise specified.
1. About Our Handling of Personal Information
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable. Examples include your name, contact details, employment history, qualifications, interview notes and IP address.
Redion ANZ collects, holds, uses and discloses personal information in accordance with applicable privacy laws, including:
• the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs); and
• the Privacy Act 2020 (New Zealand) and the Information Privacy Principles (IPPs), where applicable.
Redion ANZ is responsible for the personal information collected and processed through our Career Site and recruitment activities described in this Privacy Policy.
2. What Personal Information Do We Collect?
All individuals
• Device information - If you visit our Career Site, we will collect information about your device, such as IP address, browser type and version, session behaviour, traffic source, screen resolution, preferred language, geographic location, operating system and device settings/usage.
• Technical and statistical information - If you visit our Career Site, we will collect technical and statistical data about your use of the site, such as information about which URLs you visit, and your activity on the site.
• Communications information - We will collect and retain records of communications between you and us, including the information you provided in the communication. This may include the content of emails, video recordings, messages on social media, the information you add to your account with us, surveys, etc.
• Contact details - Such as your name, email address, telephone number and residential or postal address.
Candidates
• Recruitment and Assessment Information - Such as notes from interviews with you, assessment results, testing outcomes and salary expectations.
• Application Information - Such as your CV, cover letter, work samples, references, recommendation letters, certifications and qualifications.
• Publicly Available Professional Information - Information available through professional networking sites or other publicly available sources relevant to employment opportunities, such as LinkedIn or the website of your current employer.
• Information Provided by Referees and Referrers - Information provided by professional referees, recruitment agencies, our employees or partners who refer you to us, or other individuals who refer you to us.
• Sensitive Information - We may collect sensitive information that is relevant to the recruitment process, including information relating to work rights, criminal history checks where permitted by law, health information relevant to workplace adjustments or accommodations and diversity and inclusion information that you voluntarily choose to provide. We will only collect sensitive information where permitted by law and, where required, with your consent.
3. Where Do We Collect Personal Information From?
All individuals
• Directly from you: We collect most personal information directly from you when you apply for a role, create a candidate profile, subscribe to vacancy alerts, communicate with us or otherwise connect with our Career Site. You may choose not to provide certain information, however, doing so may limit our ability to assess your application or communicate with you about employment opportunities.
• Through the Career Site: When you visit our Career Site, we automatically collect certain technical and usage information through cookies and similar technologies.
References
• From the Candidate: Where a Candidate lists you as their reference, we collect your contact details from that candidate so we can contact you regarding their application.
Candidates
• Public Sources: We may collect personal information from publicly available sources, including LinkedIn, professional association websites, employer websites or other publicly available professional platforms.
• Recruitment Partners and Referrals: We may receive information about you from recruitment agencies, talent sourcing providers, current employees, contractors or business partners.
• Referees: If you provide us with references, we may collect information about your employment history, skills and suitability from those referees.
• Recruitment Activities: Additional information may be created during the recruitment process, including interview notes, assessments, evaluations and recruitment decisions.

Some of our service providers, systems providers and related companies may be located outside Australia or New Zealand, or may store personal information in overseas jurisdictions.
As a result, your personal information may be transferred to, stored in, or accessed from countries outside Australia and New Zealand.

Visitors
We keep your personal information for one (1) year for security purposes. The retention periods for cookies are set out in our Cookie Policy. We keep your personal information to analyse the performance of the Career Site for as long as we keep personal information about you for other purposes.
Candidates
For candidates who subscribe to vacancy alerts or choose to remain in our talent pool, we may retain personal information until you request removal or your profile becomes inactive.
For unsuccessful candidates, we may retain personal information for a reasonable period following completion of the recruitment process in order to:
• consider candidates for future opportunities;
• respond to enquiries or complaints;
• comply with legal obligations; and
• protect our legal interests.
Where a candidate becomes an employee, relevant information will become part of the employment record and will be managed in accordance with applicable employment and privacy requirements..
References
We may retain referee information for as long as we retain the associated candidate recruitment records. When personal information is no longer required, we will take reasonable steps to securely destroy or de-identify it.
9. Your Privacy Rights
You have the right to:
• request access to personal information we hold about you;
• request correction of inaccurate, incomplete or outdated personal information;
• withdraw consent where we rely on consent to collect or use information;
• request removal of your profile from our talent pool;
• make a complaint regarding our handling of your personal information; and
• request additional information about our privacy practices.

• Log in to your account with us, where you can use the settings in the account to exercise your rights; or

Privacy Complaints
If you believe we have mishandled your personal information, please contact us first so we can investigate and attempt to resolve the issue.
If you are not satisfied with our response, you may lodge a complaint with the relevant privacy regulator.
